Announcements for HR
August 19, 2008
- Over the weekend the BEACON support team moved
a fix into the production system to correct
the calculation of leave balance (leave offsetting)
amounts. In order to resolve the issue
for all employees, time evaluation was run retroactive
to your agency's go-live and leave balances were
re-calculated. The correct leave balances should
now be available to employees via ESS.
However, a small number of employees may now
have a negative leave balance do to the employee
taking leave, prior to the retroactive calculation,
that they had not yet accrued. This scenario
may have occurred because the system erroneously
displayed that the leave was available at the
time the employee took leave.
The production support team is preparing instructions
on how to fix this issue for your impacted employees.
Please do not attempt to fix the negative balance
until the instructions have been provided to
you later this week.
August 15, 2008
- Legislative increases have
been entered in BEACON retroactive to July 1.
Your August pay should include the legislative
increase
for the months of July and August.
- Time Entry Reminder -Employees/
timekeepers make sure that you are entering time
into ESS on a weekly basis. Supervisors/ Managers
make sure you are approving time in MSS on a weekly
basis.
- Leave balances on your pay
statement will not necessarily be accurate and
up to date. The off-setting function in BEACON
does not appear to be working correctly. BEACON
is aware of this issue and we will provide additional
information as soon as this problem
is corrected.
- We are now recommending that Exempt
employees who are on a 9/80 workrule schedule
be designated as positive time. Please
let us know if you have this work schedule so
we can change your
designation in BEACON.
August 13, 2008
- Documentation on actions in BEACON.
There is no change in what is required for documentation
on actions than what was required in PMIS; however,
the process has changed.
Because of the workflow process, the documentation
is required twice. What we have recommended is
that you type the comments once and save them
as a word document. Attach that word file to the
workflow and then again when you actually process
the action. This will help the other approvers
in the workflow understand what is being done
on the action.
This new process should not add any extra work
- except for the time attaching the documents.
In today's meeting with Tracy, sample comments
were provided for many different action types.
Those will not be on the web, so please make copies
of what was provided or call Marilyn Ragan for
additional copies.
August 7, 2008
- BEACON team members have identified an error
in the ZPAR006 Public Information
report. We are working to fix the report, but
in the meantime we ask that you refrain from running
it until you hear back from us. Please share this
information with the appropriate people within
your agencies.
