TIP of the DAY
4/28/08
- To print any infotype, click the "Customize
Local Layout" button at the end of the SAP
toolbar. From the dropdown menu, select "Hard
Copy". The page will print automatically on
the printer to which your computer is mapped.
4/25/08
- Remember; don't start an action
unless you can finish it. This is the principle
stressed throughout training, and it still applies.
- If you're having trouble finding an employee,
the problem may be that he/she is not linked to
an organizational unit.
- Make sure that you are enrolling New Hires
in the benefits programs. Do not skip this
step. It is always a good idea to review the employee
record after completing the New Hire action to make
sure all necessary infotypes have been populated.
4/24/08
- A Quick Entry should not
be used to enter someone in the system if the
employee will be paid through Central Payroll. This
transaction is only used for volunteers, board members,
contractors (not personal service contracts), and
committee members. In other words, Quick
Entry is only used to track a person's
location, position contact information, and hours
worked.

- On some of the PA and OM infotypes, vital information
is truncated, and there is, often, no way to "stretch"
the viewing field. For example, on the Organizational
Assignment infotype (0001), the job class may read
"Healthcare Technician" but the I or II
may not show. To see the complete field, either
hover over the area with the cursor or click and
drag in the field. This will bring the entire text
forward.
4/18/08
- If you receive a request for public information
on an employee, the SAP transaction code is ZPAR006.The
screen contains data defined as public information,
based on North Carolina Statute 126-23.
4/17/08
- Remember! When you are moving a person from one
state agency or part of DHHS to another, this is
a TRANSFER, NOT A SEPARATION. The only time you
would request and carry out a separation action
is if the person is leaving state service.
- In workflow, if you click on the "Workflow Item
Complete" button, you are simply closing out workflow
and removing this item from your workflow folder.
It is a good practice to complete the PA or OM action
first and then return to the workflow folder to
mark that item completed.
4/15/08
- On the Personal Data Infotype (0002) the "start"
date is the birth date. When you do a search by
name, in PA20 for example, and there are multiple
records with the same name, the results listing
includes the "start" date, which enables
you to choose the correct person.
- In trying to process an action from your workflow
folder, if you're getting the message "PCR
for this Action Not Found", check your dates.
When you intiate workflow, you attach an effective
date to your action request. Once it returns to
your workflow folder and you start the action,
you are asked for the effective date again. This
must be the date you provided in your initial
request. It is matched to the PCR. If you put
a different effective date, the PCR will not be
matched with anything and will give you the "Not
Found" message.
4/14/08
- When doing the cross agency verification report,
the user needs to enter the employee's last name
in CAPS.
- If you hire someone in a position as a trainee,
remember this person's time may change from positive
to negative since he/she may be moving from subject
to exempt when he/she becomes permanent. This also
might mean a change of work schedule for the position.
