5/21/08

  • As we are all learning SAP, one of the most important features of it is that it is date-driven. All the actions have a validity period that includes a start and end date.

What we are finding is that people are changing some existing records instead of using the Copy Records button and changing the new record (including the start date). When this happens and a problem occurs, it is nearly impossible to tell just what occurred other than who changed it.

Where the action could affect a person's pay, the Copy Record is preferred. This includes changing position settings, work schedule rules, etc. If any of these changes need to be made retroactively and payroll has already run, it will need to be done by BEST SS.

In the case of Quota Corrections for leave balances, please refrain from using the Replace generated entitlement button. The Increase or Reduce generated entitlement buttons (with notes attached) allow us to understand what needed to be done as history is then available.

Personal data changes can be made but please make a note on the record with the date and initials and comments as to why the change was made.

  • There is NO policy stating that if a person takes a full day off, he/she cannot go on call.

There IS a policy under review that states that a person cannot take a day off AND be on call AT THE SAME TIME.

For people who want to take a full day off and then go on call....

  1. Approved Leave/Sick leave is entered on two lines with the total of hours to be taken.
  2. Add On Call as a third line for the same day.

  • To review an entire organizational unit's leave balances at one time, use the PT_QTA10 - Display Absence Quota Information report.

    NOTE: This is NOT a BI report. This is an SAP-ERP report.

  • As you complete actions in SAP, some of you are finding that PMIS Actions were incorrect; an employee was permament instead of being probationary, etc.

    In these cases where the action was incorrect in PMIS, we have two solutions for you.

    1. If the situation can be corrected by initiating a PA or OM action effective 4/1/2008, please initiate a PCR to do so.
    2. If the action cannot be corrected because it pre-dates SAP Go Live, please send your information to your Classification Analyst and we will send the list bi-weekly to BEST SS for processing.

The reason for doing this is that BEST SS is concerned that some agencies are bypassing workflow to make changes to records that shouldn't be changed, and they cannot tell which ones are legitimate and which ones are not. This process will also reduce the amount of requests they receive by consolidating corrections, so they can more easily process them without having to investigate each one for its authenticity.

  • When you add a note to an infotype through the Maintain Text process, remember that you have to Save twice. You must first save the note, and then you must save the infotype with the added note.
